4 Monroe, WA Monroe, WA Full-time Full-time $22 - $34 an hour $22 - $34 an hour 2 days ago 2 days ago 2 days ago The Operations Coordinator is a multifaceted administrative support position requiring collaboration with multiple departments to facilitate, carry out, and streamline central operational processes.
This position is generally responsible for providing backup support to administrative and finance team members, coordinating maintenance projects, managing a centralized ordering process, facilitating order deliveries, assisting with the execution of a comprehensive safety & security program, maintaining accurate database records and an organized online filing system for operational documents and SOPs, tracking of supply and pet food donations, maintaining online wish lists, and a variety of other administrative duties.
The successful Operations Coordinator will have exceptional organizational and problem-solving skills, an ability to work independently, and be highly proficient at setting priorities and meeting deadlines.
Responsibilities include, but are not limited to:
General Operations:
Provide backup administrative support for answering incoming calls, responding to general voicemail messages and general email inquiries, processing incoming/outgoing mail, assisting with gift shop order fulfillment and restocking and other general administrative tasks as may be required.
Maintain all safety equipment, such as AEDs and first aid kits by conducting regular inspections and recommend new safety measures or equipment to help ensure a safe working environment; assist with administration of various security measures, such as gate and door access codes, monitoring of security cameras, and coordinating responses to security concerns.
Maintain general organization of common areas, and coordinate with cleaning crew staff to ensure all areas stay clean and supplies fully stocked.
Manage an efficient centralized ordering system to include, ordering and proper storage of office supplies, cleaning and safety supplies, animal care supplies and animal feed, hay and produce orders to ensure adequate inventories are maintained, while ensuring waste is kept to a minimum.
Update procedures as necessary to maximize efficiency of the ordering processes.
Collaborate with all areas of the organization to understand current wish list needs and ensure that published wish list items are updated on a regular basis.
Manage incoming supply deliveries ensuring timely distribution to appropriate areas and collaborate with each area to establish guidelines for delivery processes; collaborate with the Volunteer team to provide logistical and administrative support for managing incoming supply donations.
Collaborate with the People Ops Manager to support a comprehensive safety program and conduct regular trainings with staff as required.
Maintain safety SOPs and ensure all notices and signs are properly displayed in appropriate areas.
Assist with recruiting efforts and onboarding new team members and other general operational tasks as requested.
Facility Operations:
Collaborate with the Facilities Manager and other operational areas to coordinate and schedule ongoing facilities projects and general maintenance, coordinate and schedule outside trade vendors when necessary and provide general project and administrative support to the facilities team.
Assist with tracking of facility supply inventories, order maintenance supplies and materials, and facilitate deliveries and pickups as needed.
Assist the Facilities Manager with maintaining the maintenance database system to ensure all maintenance requests are processed and scheduled in a timely manner and prioritized based on established guidelines and ensure that all required documentation and assets are up to date within the system.
Provide regular reports from the database system as requested.
Coordinate the purchase, installation, maintenance, and disposition of equipment, furniture and vehicles, and ensure all equipment and assets are stored in secure designated areas; maintain a detailed inventory of all assets stored in the storage barn and collaborate to ensure that all storage areas are maintained in an organized manner.
Coordinate annual testing of various facilities systems (fire, water, etc.
).
Maintain a detailed tracking system to ensure the timely renewal of all vehicle and facilities-related licenses and ensure all appropriate insurance documentation is maintained in vehicles.
Schedule and attend regular meetings with internal and external stakeholders regarding facilities projects and maintain all required project documentation in an organized manner.
Required Skills/
Qualifications:
Prior experience in a role with similar responsibilities, such as order and supply management, safety compliance and managing a maintenance system strongly preferred.
Must be highly competent with all Microsoft Office365 applications and be confident in ability to learn and maximize the use of new systems.
Must have excellent written and verbal communication skills and experience developing clear process guidelines and SOPs.
Must be highly organized and self-motivated and have a proven ability to work independently and collaboratively as situations warrant.
A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making.
